Privacy Policy

Families and caregivers share a great deal with us. This page explains what we collect, why we need it, and how we look after it.

The short version

The full policy follows — but here is the heart of it.
  • We collect the information families and caregivers give us so we can make thoughtful placements. Nothing more than that.
  • We never sell your personal information, and we don't trade or rent it to anyone.
  • Details about your children stay between you, us, and the caregivers you are actively considering.
  • Caregivers are told before any background check is run, and no report is shared with a family without written permission.
  • We share information with families and caregivers only as needed to make a match — always with context, never as a data dump.
  • You can ask us what we have, correct it, or ask us to delete it. Email hello@maisonhomehelp.com and a real person will answer.

Who we are

Maison Home Help Collective (“Maison,” “we,” “us”) is a boutique childcare placement service operating as Maison Canton LLC DBA Maison, based in Canton, Ohio and serving families across Stark and Summit Counties.

We introduce families to nannies, sitters, and mother's helpers. Doing that well means asking real questions and holding the answers carefully — about your household, your children, your work history, and your references. This policy is our commitment about how that information is handled.

This policy applies to www.maisonhomehelp.com and to the way we handle information offline: intake calls, interviews, emails, texts, and the records we keep about placements.

Who this policy covers

Different people share different things with us, so it helps to know which part applies to you:

  • Families who submit an intake form, have a consultation, or move through a placement.
  • Caregivers who apply to join the Maison network, interview with us, or are placed with a family.
  • Visitors who browse the site, send a message through the contact form, or reach us on Instagram.
  • References whose contact information a caregiver provides, and whom we may call.

Where a section applies to only one group, we say so.

Information we collect

From families

Through the family intake form, our first conversation, and the placement itself, we collect:

Some of what you share about your children is sensitive. We ask for it only because a caregiver needs it to keep your child safe and comfortable, and we treat it that way. Section 6 explains how it's handled.

Our background screening provider, checkr, collects the information required to run a check — typically your date of birth, Social Security number, and address history — directly from you through their own secure portal, under their own privacy policy. Maison does not collect or store your Social Security number.

From anyone who contacts us

  • Name, email address, phone number (if you provide it), whether you're reaching out as a family, a caregiver, or something else, and the content of your message.
  • Emails, texts, and Instagram messages you send us, and our replies.

Collected automatically when you visit the site

Our website is built on Squarespace. Like nearly every website, it records limited technical information automatically: IP address, browser and device type, pages viewed, how long you stayed, and the site or link that referred you. Squarespace uses this to provide the site and give us aggregate analytics — visitor counts, popular pages, and traffic sources.

We also use the Meta pixel, a small piece of code from Meta (Facebook and Instagram) that tells us when a visit or an inquiry followed one of our Instagram posts or ads, and allows us to show ads to people who have visited the site. Section 9 explains this in full, including how to opt out.

What we don't collect. We don't ask for or store Social Security numbers, driver's license numbers, financial account numbers, or health records. We don't buy contact lists. We don't use tracking that follows you across unrelated websites beyond the advertising tools described in section 9.

Where information comes from

  • Directly from you — forms, calls, interviews, emails, and texts. This is the great majority of it.
  • From your references — when a caregiver gives us reference contacts, we call them and record what they tell us.
  • From our screening provider — background check and driving record results, with the caregiver's written permission.
  • From the family or caregiver on the other side of a match — feedback after a meet-and-greet, trial day, or check-in.
  • From referrals — if someone refers you to us, we may receive your name and contact information from them.
  • Automatically — the website and advertising tools described above.

How we use information

We use what you share for the work you came to us for:

  • To understand your family or your experience, and to have a real conversation about fit.
  • To source, interview, and vet caregivers, and to match them thoughtfully with families.
  • To write the match brief and candidate profiles we present — the notes and perspective that come with each introduction.
  • To coordinate meet-and-greets, trial days, and start dates.
  • To help draft work agreements and talk through fair pay and terms.
  • To check in at 30, 60, and 90 days, and to stay a point of contact afterward.
  • To send invoices, collect placement fees, and keep accurate business and tax records.
  • To answer questions and respond to messages.
  • To understand which pages and posts bring families and caregivers to us, so we can improve the site and our outreach.
  • To meet our legal obligations and to protect the safety of children, families, caregivers, and Maison.

We will not use your information for a purpose unrelated to these without telling you first.

Information about children

This is the most sensitive information we hold, and it gets the most care.

Everything we know about a child comes from that child's parent or guardian. Our website is not directed to children, we do not knowingly collect information directly from anyone under 13, and children do not create accounts or submit forms on our site. If you believe a child has submitted information to us, email hello@maisonhomehelp.com and we will delete it.

When a parent shares details about their children, here is how we handle them:

  • Shared only with candidates you're actively considering. Caregivers learn about your children when there is a genuine reason — a candidate you're deciding on, an upcoming meet-and-greet, or a placement in progress.
  • Shared at the level needed. Early conversations use general information — ages, schedule, the shape of the role. Specific details such as allergies, medical needs, or a child's full name are shared when a caregiver is genuinely in consideration or about to spend time in your home.
  • Never used in marketing. We do not use your children's names, photos, ages, or stories on our website, on Instagram, or in any promotional material without your separate, specific written permission — and you can withdraw it at any time.
  • Never sold or disclosed to advertisers. Not now, not ever.

If you would rather hold something back until you've met a candidate, tell us. We would rather work with less information than have you share something before you're ready.

Background checks & caregiver rights

Every caregiver Maison places is background screened before placement. Background checks are governed by a federal law called the Fair Credit Reporting Act (FCRA), which gives caregivers specific rights. Those rights matter to us, so here they are plainly.

Before a check is run

  1. We give you a clear written notice, in a standalone document, that a background report may be obtained about you and may be shared with families considering you for a placement.
  2. We obtain your written authorization. No check is run without it.
  3. Our screening provider collects the identifying details it needs directly from you, through its own secure portal.

What the report may include

Criminal history searches at the county, state, and national level, sex offender registry checks, identity and address history verification, and — where a role involves driving children — a motor vehicle record. We may also verify certifications such as CPR.

Sharing results with families

Families are told that every caregiver has been screened. A copy of your actual report is shared with a specific family only where you have authorized that sharing and the family is actively considering you. Reports are never posted publicly, attached to a general profile, or circulated among families.

If something in a report affects a placement

If information in a background report may lead us — or a family — to decide against a placement, you will receive:

  • A pre-adverse action notice with a copy of the report and a copy of “A Summary of Your Rights Under the Fair Credit Reporting Act,” before any final decision.
  • A reasonable period to review it and tell us if something is wrong.
  • If the decision stands, an adverse action notice with the name, address, and phone number of the screening company, a statement that the screening company did not make the decision and cannot explain it, and notice of your right to a free copy of your report from that company within 60 days and to dispute anything inaccurate or incomplete.

Your rights, in short: you have the right to know that a report was requested, to see it, to be told if it was used against you, to get a free copy from the screening company, and to dispute anything in it that is inaccurate. Disputes are resolved with the screening company, which must investigate — and we will not proceed on disputed information while an investigation is open.

How we store screening results

Background reports are kept separately from general application files, with access limited to Maison's owner. They are not stored in shared folders or email threads. When they are no longer needed, they are permanently deleted or shredded, as the FCRA's disposal rule requires.

When we share information

We do not sell your personal information. We have never sold it, and we do not share it for anyone else's marketing.

We share information in five situations, and no others:

With families and caregivers, to make a match

Families receive candidate profiles: a caregiver's first name, experience, qualifications, availability, rate range, our interview notes, and — with the caregiver's authorization — screening results. Caregivers receive the details of a role they are being considered for: the family's general location, schedule, children's ages, responsibilities, and pay. Fuller contact details are exchanged when both sides agree to meet.

With the services that help us operate

These providers may only use your information to perform their service for us — not for their own purposes — except where their own privacy policy governs, as with the screening provider's direct collection from caregivers and Meta's use of advertising data.

When the law requires it

We will disclose information if required by a subpoena, court order, or other legal obligation, or where disclosure is necessary to report suspected abuse or neglect, or to protect someone from serious harm. If a child's safety is at stake, we will act first and explain afterward.

With your permission

For anything else — a testimonial, a referral to another service, a mention on Instagram — we ask first.

If the business changes hands

If Maison is ever sold, merged, or transferred, client and caregiver records may transfer with it. If that happens, we will notify you by email beforehand where we can, and the new owner would be bound by this policy until you're told otherwise.

Cookies, analytics & advertising

Cookies are small files a website stores in your browser. Ours come from two places.

Squarespace

Our website platform sets cookies that are necessary for the site to function — keeping forms working, remembering your cookie preferences, and protecting against abuse — along with analytics cookies that give us aggregate visitor numbers, popular pages, and referral sources. We see totals and trends, not individual browsing histories.

The Meta pixel

We use the Meta pixel so we can tell whether our Instagram presence and ads are actually reaching families and caregivers, and so we can show ads to people who have visited our site. The pixel tells Meta that a browser visited a page on maisonhomehelp.com and may pass along a page view or a form submission event. Meta may match that with an existing Facebook or Instagram account.

The pixel does not send Meta the contents of your intake form or your children's information.

Your choices

  • Your browser — every major browser lets you block or delete cookies. Blocking all cookies may keep our forms from working properly.
  • Meta — you can control ad targeting in your Facebook or Instagram settings under Ads & Ad Preferences, including “Off-Facebook activity.”
  • Industry opt-outs — optout.aboutads.info and optout.networkadvertising.org let you opt out of interest-based advertising from participating companies.

Browsers send a “Do Not Track” signal that has no agreed-upon meaning across the web, and our site does not currently respond to it. If you'd like us to stop using your information for advertising measurement, email us and we'll take care of it manually.

Email, texts & messages

When you submit a form or reach out, we will contact you about your inquiry, your search, or your application. That's service communication, and it's the reason you got in touch.

Separately, we may occasionally send news about Maison — new services, availability, or something we think would genuinely be useful. Every one of those emails includes an unsubscribe link, and unsubscribing never affects the service side of things. If we text you, replying STOP ends the texts.

If you message us on Instagram, that conversation lives on Meta's platform under Meta's privacy policy, not ours. For anything sensitive, email is the better channel.

How we protect information

Maison is a small business, and we've built our practices to match:

  • Files are stored in password-protected, access-controlled accounts with two-factor authentication enabled.
  • Access is limited to Maison's owner and any team member who needs it to do their job.
  • Background reports are stored separately from general files, with tighter access.
  • Devices are password-protected and encrypted.
  • Paper notes containing personal information are shredded rather than discarded.
  • We ask the same care of the providers we work with.

We should be honest with you: no system is perfectly secure, and no business can promise otherwise. What we can promise is that we don't collect more than we need, we don't keep it longer than we should, and if something goes wrong you'll hear it from us.

How long we keep it

When a retention period ends, records are permanently deleted or shredded.

Your choices and rights

Ohio does not currently have a comprehensive consumer privacy law giving residents formal access and deletion rights. We think you should have them anyway. Regardless of where you live, you can ask us to:

  • Tell you what we have — a plain summary of the information we hold about you.
  • Correct it — if something is wrong or out of date.
  • Delete it — we'll delete what we're not legally or contractually required to keep, and tell you clearly what has to stay and why.
  • Stop marketing to you — unsubscribe any time, without affecting active service.
  • Withdraw permission — for example, permission to share your profile or screening results with families.
  • Get a copy — of the information you gave us, in a readable format.

Email hello@maisonhomehelp.com with what you'd like. We'll confirm within two business days and complete most requests within 30 days. We may need to verify your identity first — particularly for anything involving a child's information — and we'll never charge you for a reasonable request.

If you live in a state with a comprehensive privacy law — California, Colorado, Virginia, Connecticut, and a growing list of others — say so in your request and we'll treat it under that law's standards, including your right to appeal a denial.

Caregivers: your rights around background reports are covered in section 7 and come from federal law. They apply in addition to everything here.

If something goes wrong

If personal information in our care is ever accessed without authorization in a way that creates a real risk of identity theft or fraud, we will notify affected individuals as Ohio law requires — within 45 days of discovering the breach (Ohio Revised Code § 1349.19), and sooner where we can. That notice will tell you what happened, what information was involved, and what we're doing about it.

If you have a concern about how we've handled your information, email us first — we'd like the chance to fix it. You may also contact the Ohio Attorney General's Consumer Protection Section, or the Federal Trade Commission at reportfraud.ftc.gov.

Other websites and platforms

Our site links to other places — our Instagram, our screening provider's portal, external resources such as CPR courses. Once you follow a link, you're covered by that company's privacy policy, not ours. We'd encourage you to read them, particularly the screening provider's, since caregivers submit identifying information directly there.

Visitors outside Ohio

Maison serves families in Stark and Summit Counties, Ohio. Our site is hosted in the United States, and any information you send us is stored and processed here. If you're visiting from outside the U.S., please know that U.S. privacy law differs from the law where you live, and that by contacting us you're asking us to handle your information here.

Changes to this policy

As Maison grows, our tools and practices will change, and this policy will change with them. The “Last Updated” date at the top always reflects the current version. If we make a change that meaningfully affects how we handle information already collected from you, we'll email active clients and caregivers rather than relying on you to notice.
